Breaking Down Barriers: An Introduction to Using AI with JAWS, ZoomText, and Fusion Practice Exercises

Project: Create a workplace mentor program Using AI

Task One: Draft and Send an Initial Project Proposal Email

Using ChatGPT, draft a company-wide email to gauge interest in a new mentorship program. The goal is to propose a basic idea and gather initial feedback from potential participants. To do this:

  1. Go to ChatGPT.
  2. Copy the following prompt and paste it in the edit box.

Draft a company-wide email to gauge interest in a new mentorship program. The goal is to propose a basic idea and gather initial feedback from potential participants.

  3. After pasting the prompt, press ENTER.
  4. Make sure Forms Mode is not activated by pressing ESC, then Press H to navigate to the heading containing the result. It should be the last heading on the page.
  5. Read the email ChatGPT drafted. You can continue chatting with ChatGPT to refine your email. For example, tell ChatGPT to make the email more exciting or informative, provide additional details to add to the email, etc.

Task Two: Analyze Colleague Feedback

Collect all the responses from the initial email and analyze them to shape the final program design. Since you have not sent out an actual email, use AI to generate these responses. To do this:

  1. Use the same ChatGPT conversation you created to generate the email. Tell ChatGPT to provide feedback on this email from colleagues. Include specific details such as the number of feedback responses you want it to generate or the type of information you want the feedback to contain.
  2. Copy this feedback into a document to use for the analysis.
  3. Go to Gemini. Type a prompt in the edit box asking it to analyze the following feedback you received about a company-wide email regarding a new mentorship program. Paste the feedback from your document directly after your prompt and press ENTER.
  4. Make sure Forms Mode is not activated by pressing ESC, then Press H to navigate to the heading containing the result. It should be the last heading on the page.
  5. You can continue refining the analysis by asking Gemini to sort the feedback into categories or display it in a table for easy comparison.
  6. Copy and paste the feedback analysis in a document to use in the next steps.

Task Three: Create a Program Outline and Timeline

Based on the feedback analysis, create a concrete plan for the program’s structure, key activities, and deadlines. To do this:

  1. Using Copilot, create a concrete plan for the program’s structure, key activities, and deadlines. Enter this prompt into the Edit box.

Create a plan for a new mentorship program using the following feedback analysis. Include how the program should be structured, key activities participants will take part in, and a timeline for implementation.

  2. Press ENTER to submit your prompt.
  3. Continue refining the timeline by changing deadlines or adding activities.

Task Four: Draft and Send a Follow-Up Announcement Email

Use the outline and timeline you just created to draft a final announcement email. This email will officially launch the program and provide all the necessary details. To do this:

  1. Still using Copilot, create a prompt asking it to draft an announcement email to colleagues about the mentorship program using the outline and timeline you just created.
  2. This email should clearly outline the program launch, explain how it will work, and provide all details colleagues need to know to participate.
  3. Continue chatting with Copilot to revise your email. For example, specify additional information you want to include or refine it to be more concise.
